Firm Administrator

We are looking for an experienced, 2-3 year administrative professional to manage and lead the day-to-day operations of our accounting and legal practice. Your job will be to coordinate and supervise the activities of 3 support staff to ensure the office runs smoothly and our clients are cared for. The ideal candidate should be motivated and thrive in a fast-paced, collaborative environment and can take charge and meet deadlines. We want someone who is passionate about the client experience and willing to invest time and to take our firm to the next level.

Highly proficient with MS Office software specifically MS Excel is a must. Basic knowledge of QuickBooks Online is preferred. Extensive experience with data analysis. Must have the ability to collect, organize and interpret data from multiple sources and provide detailed reports for management.

Responsibilities:

  • Supervise staff of 3
  • Supervise office maintenance and vendor relationships and contracts
  • Office Process and Procedures - Oversee the preparation and maintenance of administrative and quality control manuals
  • Human Resource Management - recruiting, performance management, training, payroll processing, CPE / licensing, mentoring program, employee orientation and benefit administration
  • Evaluate, review and renew medical, professional liability, workman comp, business owner insurance policies
  • Oversee and supervise firm library and filing procedure including organization and naming schemes for easy retrieval of digital documents
  • Oversee IT support
  • Facilitate marketing initiatives
  • Update firm website
  • Implement and maintain a shared firm CRM system

  • High school diploma a must
